Here at Blue Waters, we’re constantly driven by one simple question: how can we serve our clients better?
We’re never satisfied by where we are, and are always working behind the scenes to improve performance. That’s not easy: we run a very tight ship in order to keep both our costs and your fees down, so time spent developing new systems and improving core processes has to be squeezed in around the day-to-day commitments… oh who are we kidding, there’s no time for this in the day, we just chain Ross in front of his computer all night and all weekend and put him on a caffeinated drip.
Across 2025, most of those efforts were targeted towards improving our accounting procedures. Aggregating the data from across all our client developments, improving our supplier payment pipeline, auto-processing incoming payments, algorithms creating draft budgets and assembling year end packages, and even a small sprinkling of AI on the supplier side (we do NOT use any external AI anywhere near customer financial data, nor do we ever plan to… more on this another time!)
In putting all these systems and databases in place, they were accompanied by dashboards, monitoring and reports. Some of those reports were always designed for public consumption: most meetings over the past year have been accompanied by our Income & Expenditure report, distilled from multiple versions over different sites over the past decade to fulfil every need. Similarly, our Budget report has been used by most developments over the past two years to agree service charges, again born from the complex needs of different sites, and has also accompanied most service charge invoices sent in 2026 too.
However, there are other reports which are equally useful both internally and externally, which a small number of sites request on a monthly basis. Hence one of the immediate drivers of launching BWDirectors.com was to enable all sites to receive that same service, to make that information on hand constantly rather than on request or on a schedule, and as an added bonus to make it easier for us to automate the delivery of our reports to free up extra manpower to other tasks.
Given that these financial reports already existed in the backend of our own website, porting them across to a new domain was easy. Ensuring the data stayed secure behind multiple checks and balances was the primary challenge, and syncing our website logins with our email data and Companies House another. Thankfully, our expertise in automations already extended to talking with the Companies House website on a weekly basis to check accounts filings and confirmation statement completions, so checking director statuses proved a simple addition.
So here we are, with a raft of financial reports ready to deploy at our directors’ fingertips.
So what’s next?
Cashflow
There’s one report many of you will be familiar with that’s conspicuous by its absence: Cashflow.
Cashflow forecasting accompanying Budgets continue to works brilliantly as a warning tools for possible hiccups in budgeting plans. In probably about 5% of Budgets, the accompanying Cashflow highlights a cash bottleneck at some point in the financial year which needs pre-empting, sometimes through a tweak to the Budget, sometimes through sensible holding on to parts of particular lines of expenditure until after the cash crunch. Most common example being if buildings insurance falls a month or two prior to the next round of service charges, especially on those few sites where owners insist on paying quarterly or monthly.
However, dynamic in-year Cashflows are a harder nut to crack without needing constant manual intervention. There are a number of challenges, and we’ll discuss how they’ve been solved once we launch this service later in 2026. Yes, 2026: we have a number of sites clamouring for this report to make a comeback, and we always strive to deliver the service you demand so cracking this one is very high on the to-do list!
Meetings
May 2026 saw a big shift in how we prepare and tie up meetings. AGMs, Directors meetings, Residents meetings, etc etc… all of these just became easier, faster, more detailed and more productive. Some of our developments will already have noticed a far faster turnaround in meeting minutes and action points, for example.
We’re looking at bringing some of that meeting pipeline into this Directors Portal too. Posting draft minutes for your comments within 24-48hrs is the goal, and we’re already proving it’s very achievable. We’ll also be looking at running attendance responses through here too, as well as draft agendas. Anything to take some of the clutter out of everyone’s inboxes, as well as making it far easier to feed everything into the meeting pipeline in an organised, automated manner. Faster, easier, more reliable, more accessible… multiple marginal gains for the win!
There’s also a nice synergy to be enjoyed here: the financial data which gets presented in the meeting will be in your hands constantly in the run-up to the date, changing on a daily basis. Finance sections of directors meetings often fly by when everyone’s already on top of the detail, which can make the entire endeavour more productive.
Supplier Invoice Approvals
Getting supplier invoices processed, approved and paid in a timely manner has now become a faster and efficient process in 2026 whilst having built in rigorous safeguards and checks as well. The new pipeline, on which work was started in Feb 2025 and has been in full effect from start to finish now since Jan 2026, comfortable ensures payment of most invoices within 48hrs.
There are only two main hurdles in the way of the payment being made, once all the safeguards around bank details etc are quickly met. Finance is one. The other is Approval.
When an invoice sits outside our agent sign-off limit, and/or is beyond the approved budgets on routine service nominals, then Blue Waters seeks Directors approval. We’ll be looking at bring that process off emails and onto the portal, so that approvals are instantly registered by our pipeline rather than need relaying through a Blue Waters staff member. That way we can collective speed up the approval process and ensure that our subcontractors good works are rewarded with equally speedy and effective remuneration.
REMINDER: Directors forwarding on invoices from contractors should do so to invoices@bluewatersresidential.com. Doing so will inject the invoice directly into our automated pipeline and begin being processed immediately. Sending the invoice to another email account will not somehow produce a faster service, it will in fact only slow it down since it will have to be read and saved by that person first, entering the system at exactly the same point as it would have anyway but with an extra delay!
The Future
That sums up the main short-term improvements we’ll be looking to add to the Directors Portal. That’s hardly the sum of everything that we’re doing in the background to raise our service levels, we’ve got a lot more projects being developed in parallel, but we believe that this Directors Portal will be a very positive platform going forward.
We have a list of things we could also add to the portal down the line, and as our attention turns to the next target we’ll let you know in advance and build it together.

That’s the great thing about delivering this portal in-house: the entire project is tailored to what you as our developments’ directors need, not generic business practices or systems which don’t understand or reflect the realities of being a volunteer director of a residential management company.
